Outdoor Photo Alliance LLC Terms of Service and Event Attendance Policy

Payment:

By signing this digital agreement and submitting your registration, you authorize Outdoor Photo Alliance to charge the credit or debit card you provide as payment for the event and payment amount indicated. You also provide permission for Outdoor Photo Alliance to contact you regarding your registration. You understand that you will receive information about event activities and content leading up to, during, and following the live event.

Responsibility:

You agree that you are responsible for the full payment of fees for the registration of the event indicated, along with any add-on classes ordered, regardless of whether you attend or participate in the event. No refunds will be issued.

Outdoor Photo Alliance will not offer any refunds for registrations for this event, regardless of when the cancellation is made or the reason for the cancellation. Outdoor Photo Alliance reserves the right to cancel any event or activity due to insufficient registration or any unforeseen circumstances. Outdoor Photo Alliance will offer refunds if Outdoor Photo Alliance has to cancel the event. It also has the right to substitute presenters if those originally scheduled cannot attend.

Media Release:

As a condition of my appearance or attendance at the 2026 Women’s Photography Conference or any related event, I expressly grant Outdoor Photo Alliance Photography LLC permission to use and distribute my images, comments/chats, audio, or voice in photographs, videotapes, electronic reproductions, and audiotapes of such events and activities by Outdoor Photo Alliance and other third parties (such as virtual meeting platforms, internet providers, or any other parties that are involved in producing and distributing the Conference). Such uses shall not impose any liability on Outdoor Photo Alliance or entitle me to any compensation for those uses.

By attending the 2026 Women’s Photography Conference or any related event, I agree that I will not photograph, record, reproduce, or distribute any presentations or content of the Conference.

Code of Conduct:

I agree to abide by Outdoor Photo Alliance’s Code of Conduct when attending any of their conferences.

Outdoor Photo Alliance is committed to providing a safe, productive, and welcoming environment for all meeting participants and Outdoor Photo Alliance contractors. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, contractors, service providers, and others are expected to agree to and abide by this Code of Conduct at all event venues, all related social event venues, on field trips, and all other locations in conjunction with this event, whether in public or private facilities.

Event participants, presenters, sponsors, exhibitors, and contractors are expected to:

  • Remain positive, friendly, and welcoming to others at all times.

  • Recognize that this event is a place for education, networking, professional development, and fun where respect and inclusivity are required.

  • Comply with instructions from event and venue staff, including moderators and event staff.

  • Comply with all applicable laws.

  • Be alert and report any discriminatory, harassing, aggressive, or exclusionary behavior or speech to event staff immediately.

Unacceptable Behavior:

Unacceptable behavior includes, but is not limited to, intimidating, harassing, abusive, discriminatory, derogatory, or demeaning conduct; written, verbal, or other abuse, as determined by the event organizer and its representatives in their sole discretion.

Consequences of Unacceptable Behavior:

Unacceptable behavior will not be tolerated. Anyone engaged in unacceptable behavior is subject to expulsion from the event, in Outdoor Photo Alliance’ sole discretion, without refund.

Reporting Unacceptable Behavior:

If you are being harassed, notice that someone else is being treated poorly, or have any additional concerns, contact an Outdoor Photo Alliance representative (if on site) or email at info@outdoorphotoalliance.com immediately.

Agreement and Binding Contract:

This is an agreement and a binding contract for the Outdoor Photo Alliance 2026 Women’s Photography Conference between you, the Attendee, and Outdoor Photo Alliance Photography LLC. By continuing your registration, you are acknowledging that you have read, agree to, and accept all the terms and conditions contained in this Agreement. We may amend this Agreement at any time by posting a revised version or link to a revised version on the Outdoor Photo Alliance website at www.outdoor photoalliancephoto.com.

Travel/Event Insurance:

We strongly encourage registrants to purchase travel/event insurance for this event, as Outdoor Photo Alliance will not offer any refunds. If circumstances arise and a registered attendee can no longer attend the event, the registration may be sold and transferred to another individual who is not already registered by the required deadline. Any registration transfer MUST be pre-approved and processed through the Outdoor Photo Alliance office. NO EXCEPTIONS.

Registration may be transferred to another person no later than 30 days prior to the event. There is an administrative fee of $50 to process a registration transfer, which is deducted from the amount refunded to the original registrant. No Refunds or Selling of Registrations:

NO REFUNDS or SELLING of registrations, including but not limited to virtual events, pre- and post-conference classes, on-demand content, image competitions, meal orders, seat reservations, or third-party purchase protection plans. NO EXCEPTIONS.

Event Cancellation Policy:

The Outdoor Photo Alliance reserves the right to cancel an event or pre-conference class due to low enrollment or other circumstances which would make the event non-viable. If the company cancels an event, the company will offer a full refund.

Should circumstances arise that result in the postponement of an event, the company has the right to transfer registration to the same event at the new, future date/location or allow the registrant to transfer their registration to another participant who is not already registered up to 45 days prior to the rescheduled event. Outdoor Photo Alliance will not be responsible for reimbursement of any participant’s expenses related to the cancellation or postponement of an event.

Arbitration:

Any controversy or claim arising out of or related to this Agreement or the breach thereof, which the parties are unable to resolve after at least thirty (30) days of good faith negotiations or formal mediation, shall be settled, except as may otherwise be provided herein, and the arbitration award may be entered as a final judgment in any court having jurisdiction over it.

Limit of Liability:

The liability borne by Outdoor Photo Alliance, its partners, employees, agents, associates, successors, assigns, and legal representatives under this Agreement is limited in direct proportion to the compensation paid to the company under this Agreement. Under no condition shall this liability exceed the amount already paid to the company at the time of any such claim, demand, or cause of action.
